Consultation, proposal and maintenance

How we work, from the first call to maintenance

What happens at each step, what drives cost, what you get in writing before you pay and what we won’t promise.

The process

Four steps, no surprises.

It’s the same path for a landing page, a store, an automation or an app. The size changes, the order doesn’t.

  1. Free consultation.

Half an hour on a video call to understand how you sell today and where your time goes. We follow up with a written summary: what to do first, what isn’t worth it, and a ballpark budget and timeline.

  2. Written proposal.

What’s included, what it costs, how long it takes and what depends on third parties like Meta. If it works for you, you accept it and we get started.

  3. We build it with you.

You see working progress, not slide decks, and review it with your own data before anything goes live. Change requests go in writing, so nothing gets lost.

  4. Launch, then support.

We go live once you approve. Hosting, maintenance and support are defined in your proposal — every project is different.

Commitments

Three commitments we keep on every project.

  • Your data is yours. So are your content, your brand and your domain. If you ever leave, ask within 30 days for a copy of your content and data: we’ll send it and help you with your domain. The code and the platform are ours, licensed to you while your plan is active.

  • Fast replies, in English or Spanish. We’re a fully online company working with every kind of business, anywhere in the world. We get back to you as soon as possible.

  • We tell you what’s out of our hands. If something depends on Meta or another vendor, or just isn’t worth automating, you’ll know before you pay.

Quotes

What it costs and how we quote

We don’t list prices because every project has a different scope. Here’s what drives cost for each service; you get the exact number in writing after the consultation.

  • Sell in the DMs

    Comment bot and shared inbox

It’s a monthly fee based on how many comments and conversations you get and how many people handle chats.

What the bot’s monthly fee depends on →

  • Get a website that sells

Landing pages, websites and online stores

It depends on the type of site, how many pages and products it has, the languages, and how you take payments and ship. Hosting, maintenance and support are defined in your proposal — every project is different.

More on websites and online stores →

  • Stop doing it by hand

    Automations and integrations

It depends on how many steps and tools it connects. There’s usually a one-time build fee and, separately, the hosting, maintenance and support we define in your proposal. If an outside service charges per use, we’ll tell you before we build.

    More on automation →

  • Know your numbers

    Sales dashboards

It depends on how many data sources it connects, like your store, your spreadsheets or your chat sales, and how many views it needs.

    More on sales dashboards →

  • Launch your product

    Apps and MVPs

It depends on scope. For a large app, we start with a fixed-price discovery phase to define what to build before we quote the rest.

    More on app development →

  • Across the board

    What else counts

Your dates, whether your copy, photos and catalog are ready, and what you need after launch.

The proposal

What every proposal spells out

Before you pay anything, you get in writing what we’ll do and on what terms.

  • What’s in and what’s out: pages, features and integrations, one by one.
  • The price and the payment schedule.
  • The timeline, counted from when we have the deposit, your materials and the logins.
  • What depends on third parties like Meta or a payment provider, and what they charge separately, if anything.
  • How many rounds of changes are included.
  • What you get at launch: everything up and running, plus a user guide for your admin panel or site.
  • The hosting, maintenance and support you need, with their price, separate from the project.

Your data and confidentiality

Your data, your brand and your information.

  • Your data is yours

Your content, brand, domain and data belong to you. The code, designs, templates and platform belong to Axynology: you use them under a license, as a managed service, while your plan is active.

If you ever leave, ask us within 30 days and we’ll send you a copy of your content and data in a standard format. We’ll also help you transfer your domain.

  • What you tell us stays between us

We keep the prices, business data, logins and information you share with us confidential, for the length of the contract and three years after. If you’d like, we’ll sign an NDA.

  • Your project on our site, only with your permission

We only show a project on our site if you give us permission, with or without your name, as you prefer. We never show your customers’ personal data.

After launch

Hosting, maintenance and improvements

Your website, app or automation runs on our platform. Hosting, maintenance and support are defined in your proposal — every project is different. By default, monthly services have a 3-month minimum and then continue month to month with 30 days’ notice, unless your proposal says otherwise.

  • Maintenance

Updates, backups and small changes, like a new price, photo or line of copy, as defined in your proposal.

  • Hosting

Your website, app or automation lives on servers we set up and run. To stay online, it needs an active hosting service with us, defined in your proposal.

  • Technical SEO

Making sure Google can read and understand every page: titles and descriptions, a sitemap, structured data and pages designed for phones first.

  • Improvements

Anything you want to add later, like a new section, integration or feature, gets its own quote, and you approve it before we start.

What does it cost? It depends on the scope. We’ll put it in writing after the consultation, and getting a quote is free.

Straight talk

What we won’t promise

We’d rather say it before you ask.

  • Sales. We build what makes it easier to buy from you. How much you sell also depends on your product, your price and your customer service.

  • The top spot on Google. We handle technical SEO so Google can read and understand your site. Where it ranks is up to Google.

  • Meta’s decisions. Instagram belongs to Meta: its decisions, rules and timelines are out of our hands. If the rules change, we adapt the bot under the terms of your proposal and tell you what changes.

  • That nothing ever breaks. We work to keep everything running without interruptions, but we don’t promise an uptime percentage unless we sign one in writing.

  • Automating everything. If something isn’t worth automating, we’ll tell you before we quote it.

FAQ

Contracts, payments and confidentiality

Do we sign a contract?

Yes. Every project has a written agreement with the scope, price, timeline and payment schedule. You accept it by signing it or by email, and it’s governed by our Terms.

When do I pay?

For projects, we start with a 70% deposit and the remaining 30% is due on delivery, always before going live. If the project runs in phases, you can pay per phase. Monthly services, like hosting or the bot, are paid a month in advance.

What if I want to change something halfway through?

Every project includes rounds of changes: two, unless the proposal says otherwise. Anything that changes the scope gets its own quote, and we don’t do it without your OK.

Can I cancel?

Yes. You can cancel a project by letting us know in writing: you pay for the work done up to that day, and the deposit isn’t refunded once work has started. You can cancel a monthly service with 30 days’ notice. If that’s before the minimum term ends (3 months unless your proposal says otherwise), you pay the remaining months of that term. The details are in our Refund Policy.

Will you sign an NDA?

Yes, if you’d like. And even without one, what you tell us about your business, your logins and your data stays between us.

Can I take the code with me?

Your content, brand, domain and data are yours: if you ever leave, ask within 30 days for a copy of your content and data, and we’ll send it; we’ll also help you with your domain. The code, designs and platform belong to Axynology, and you use them under a license, as a managed service, while your plan is active. Source code isn’t handed over; a license or a buyout of the code is available only under a separate written agreement.

Shall we start with a free consultation?

Half an hour on a video call, free: we get to know your business and show you how we’ll solve it together. Then a written summary.
